How do I say no without sounding rude?

A short no is politer than a long excuse that invites debate. Warmth can live in the tone. It does not have to live in a fake reason.

What may actually be happening

You were trained to make refusal soft by adding a story. People who want the yes will use the story as a hinge. Rudeness is contempt. Clarity is not contempt.

What you can do

Use a full sentence. 'I can't take that on.' If you want to offer something, offer a specific alternative, not a wobble. 'I can't this week. I could look at it on the 12th.' Then stop.

What not to do

Do not invent an illness or a busier life than you have. Do not apologise so many times that the no becomes a negotiation. Do not say 'maybe' when you mean no.
